For many clients, the scanned documents sent as a pdf are only an image. There is no way to find information in the document without reading it. DocsCorp have created a solution that opens every image file, reads it and will covert it to a text searchable document if it isn't already. This happens behind the scenes. Users can then find all the information in their file store or DM system. The latest contentCrawler solution provides features like:
Assesses and analyses documents in a content repository for OCR and/or compression processing.
Sets compression and text thresholds to optimize processing, ignoring documents that do not meet the requirements.
Converts all image-based documents (such as TIF, JPG, PNG and image PDFs) in the DMS to text- searchable PDFs adding a text layer for enhanced searching. Processes image-based attachments in emails.
The Compression module will apply compression and down-sampling to all PDFs, reducing them in file size using a variety of JPEG compression standards.
The automated end-to-end process can run 24/7 without any staff intervention, emailing periodic notifications of processing statistics and error reporting to the IT Administrator. Staff no longer have to worry about OCR or Compression as a process or workflow.

Latest News on Leak Prevention Software]]>https://www.nextpage.co.nz/single-post/2018/12/10/Latest-News-on-Leak-Prevention-Softwarehttps://www.nextpage.co.nz/single-post/2018/12/10/Latest-News-on-Leak-Prevention-SoftwareSun, 09 Dec 2018 22:55:40 +0000
2018 has seen a steady increase in the number of organizations looking to protect themselves from the threat of email data breaches.
The Office of the Australian Information Commissioner (OAIC) has released its Q3 data breach findings reported under the Notifiable Data Breach Scheme (NDB). Human error has again appeared as a leading cause of email data breaches and, recently, DocsCorp – a leading provider of document productivity solutions – reported a 69% increase in the sale of its information leak prevention software cleanDocs. The number of cleanDocs users increased by 62% in that same period.
The NDB Scheme requires that Australian businesses report eligible data breaches to the OAIC and affected individuals. Australian firms have looked to technology to minimise the chance of breaches occurring.
“The NDB Scheme findings prove that while staff should be the first line of defence against a breach, they are often, in fact, the weakest link,” said DocsCorp President and Co-Founder, Dean Sappey. “Data loss protection tools like cleanDocs empower users to protect sensitive client information and instil in them the confidence they won’t inadvertently cause a breach. Australian businesses must make human error in handling email a top security priority if they are to avoid making headlines for the wrong reason.”
About cleanDocs
cleanDocs is the smart way to scrub metadata and send secure emails. Upon clicking Send, users can check the recipient list for external or blacklisted email domains, Reply All and Forward actions to ensure the right information is being sent to the right person every time and that the user’s actions are as intended.
Sounds like something you need? For more information on DocsCorp and cleanDocs please get in touch with Next Page here.

iManage Work 10 - Blog Series 1.3]]>https://www.nextpage.co.nz/single-post/2018/11/26/iManage-Work-10---Blog-Series-13https://www.nextpage.co.nz/single-post/2018/11/26/iManage-Work-10---Blog-Series-13Sun, 25 Nov 2018 19:52:53 +0000
iManage Work Co-Authoring
Co-authoring allows users to take a fresh approach to working collaboratively on a document. While the document is still explicitly checked out, it can now be shared with a selected group of individuals.
This ensures a single individual maintains control over the versioning process while all activities during this collaborative session are audited back in iManage Work on the original document. Documents are shared in the firm's secured OneDrive for Business environment during the co-authoring session, ensuring that the documents do not lose governance.
iManage's co-authoring solution provides several key benefits to both end users and the firm:
Co-authored document auditing: Activities and contributors are audited to provide visibility into the co-authoring session.
No dependency on a Microsoft desktop sync client: Simplified client deployment that reduces the number of failure points.
Ability to work from any device: Users can work from their desktop and use their key tools to produce the work product, or they can switch to a mobile device when only light editing is necessary. Their changes are saved so that they can seamlessly switch between devices and continue their work.
Support for OneDrive on-premises and as part of Office 365: Flexible design allows firms to balance security with ease of deployment and easily switch between the two deployments with minimal effort. External collaborators, such as contractors, can contribute to a document without needing access to the iManage repository.
Streamlined workflows designed for the end user: Sharing, accessing, and saving co-authored documents workflows are thoughtfully designed to minimize user friction and increase adoption.
Advanced co-authoring workflow support: iManage Work Co-Authoring supports a variety of use cases, from internal collaboration for quick edits to complex external collaboration that can last months.
Advanced logging: iManage Work Co-Authoring users are not just end users; they are also the IT support staff. Advanced logging helps IT personnel to support users who run into problems.

The first is that the user overwrites existing content. In that case, file Journaling can help to restore the document. In the instance where a user loses a physical device, the audit history can give you a view into what the user had checked out and
downloaded to his or her machine.
A new Preview Server introduces many new features such as; zoom, high resolution, go to last place, thumbnails of each page, etc. for the iManage Work Web Client.
Introduction of a Trash Bin feature for easy deleting and restoring of deleted documents – without the need for custom scripting as presently required.

Desktop client upgrades, including client updates including user interface changes no longer require a desktop client upgrade in all cases.

For users of iManage Share the new Share Agent provides extended capability from the Work 10 client
